Hours:  37.5 per week

(May include evenings and weekends)          Pay:  Negotiable based on experience.

The Townsite of Redwood Meadows is looking to hire an Executive Assistant to provide administrative support to the Townsite Council and Townsite Manager to ensure the administrative directives of the Council are implemented according to Council’s confirmed priorities, agreements, bylaws and policies.  In addition, the Executive Assistant is expected to conduct the required research, analysis and drafting to support and communicate Council’s directives for internal and public relations’ communication for the community residents, partners and general public.

Duties shall include:

  • Arrange and organize meetings.
  • Attend meetings, and record or transcribe minutes.
  • Transcribe material from handwritten notes or digital dictation.
  • Assist with drafting meeting agendas and compiling meeting packages.
  • Draft correspondences, policies and reports as required.
  • Collaborate with the Townsite Manager to organize and schedule appointments and meetings as required.
  • Make travel arrangements and prepare expense reports for the Council and Townsite Manager as required.
  • Develop or maintain a records management system (including classifying and coding electronic, as well as hard copy files) for Council related topics and/or projects.
  • Research and analyze various Townsite related topics on the internet and with similar external organizations as required.
  • Prepare intranet and public communication documents as required.
  • Maintain the Townsite’s website, Facebook page and other social media sites as it relates to Public Relations and Community Communications.
  • Edit and/or format documents as required.
  • Use specialized software to create forms as required.
  • Manage Council related projects and/or events as required.
  • Assist with overseeing and managing Townsite bylaws and administrative policies and procedures.
  • Supervise, manage and train other staff as required.
  • Assist with applications for funding to support Townsite priorities.
  • Compile and maintain all office binders for Council, committees, working groups and/or task forces as required.
  • Perform other administrative and/or clerical duties as required.




  • Certificate or Diploma  in Business Administration, related fields or at least 3+ years experience in an Office or Administration Assistant role.
  • Must have experience in public relations.
  • Must have excellent oral and written communication skills.
  • Must have excellent interpersonal skills.
  • Must have strong organizational and time management skills.
  • Must have experience with Outlook, Microsoft Word, Excel and Power Point.
  • Must have effective decision making skills.
  • Must have the ability to demonstrate professionalism.
  • Must have the ability to demonstrate initiative.
  • Must be able to work independently or as a team player.
  • Must have a reliable means of transportation.
  • Must have research and analytical skills.
  • First Nation and/or Municipal experience is an asset.
  • Must complete a RCMP Criminal Records Check to be bondable.
  • Certification in Emergency Management is an asset.
